Conference Bridge

    This service allows an administrator and a Bridge moderator (elevated user) to create, configure, and manage multi-party conference bridge calls called "conferences" in this document.


    Details

    The Conferencing service allows group administrators and a Bridge moderator to create multi-port conference bridges that can be used by members of the group and external parties to hold scheduled, recurring, reservationless, and ad-hoc conferences. Groups who subscribe to the Conferencing service are allocated a maximum number of conference ports (by default 6 ports) that may be used simultaneously. Each call can accept as many participants as there are ports available for that group.


    For instance, if a group is allocated 10 ports, the group administrator could use them to create a seven-port bridge and a smaller three-port bridge. A bridge moderator has access to a bridge management portal that is integrated into the Broadcore Personal portal. The portal allows for creating and managing bridges before the conference as well as moderating a live conference by adding, removing, muting, holding, and retrieving participants. The Bridge moderator will get the information (phone number and pin) and distribute the information as needed. Participants can dial into the conference or be added by the Bridge moderator. The moderator has access to enhanced functions during the conference:

    • Selective muting and hand raising (participants may request to be temporarily unmuted)
    • Roll call (service can record and announce participants' names as they join)
    • Recording
    • Playback

    How to:

    Creating a conference call on an existing bridge is very simple. Log into the user account that has Conference Bridge admin rights. You know you have these rights because the following tab is visible:





    Setting up a new Conference Call

    - Under Option, Click Conferencing.
    - Under Basic, Click Conferences.
    - Click Add.




    Steps Details
    Type the title. * Type a descriptive title for the conference. The title can be up to 80 characters.
    Specify if a leader is required. Check Leader Required to specify that a leader is required to begin the conference. When checked, participants are put on hold until the leader has joined the conference.
    Specify if announcements are required. Check Announce Callers to announce participants' names when they join the conference. When checked, participants' names are announced when they join the conference.
    Specify if the lines of participants drop when the leader leaves the conference. Check Drop All Participants On Leader Log Out to drop the lines of participants when the leader logs out.
    Identify the type of conference. Click one of the following conference types:

    One-Time: for a single occurrence conference.
    Recurring: for a recurring conference.

    Reservationless: for a conference that extends over more than one day. You can use a reservationless conference any number of times, for any length of time, during the 6 months between the start date and end date.
    Define the schedule for a One-Time conference. Specify the start date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the text box.

    Specify the start time. Type the time of day the conference is scheduled to run. Type the time in Hour: Minute format and select "AM" or "PM" from the drop-down list.

    Specify the duration. Select the number of hours from the drop-down list and then select the number of minutes from the drop-down list. The total hours and minutes represent the duration of the conference.
    Define the schedule for a Recurring conference. Specify the start date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the text box.

    Specify the start time. Type the time of day the conference is scheduled to run. Type the time in Hour: Minute format and select "AM" or "PM" from the drop-down list.

    Specify the duration. Select the number of hours from the drop-down list and then select the number of minutes from the drop-down list. The total hours and minutes represent the duration of the conference.

    To schedule a daily conference, click Daily and type the frequency of the days to schedule.
      To schedule a weekly conference, click Weekly and type the frequency of the weeks to schedule. Then check the day of the week.

    To schedule a monthly conference, click Monthly specify the frequency of one of the following:
    To schedule the conference based on the day of the month, click Every__Month(s) on the__day of the month Type the monthly interval and then type the day of the month.

    To schedule the conference based on the day of the week, click Every__Month(s) on the__of the month Type the monthly interval and then select the occurrence of the day of the week from the drop-down list.
    Define the schedule for a Reservationless conference. Specify the start date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the text box.

    Specify the end date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the text box.
    Type the project billing code (optional). Type the project billing code. This code can be up to 50 characters.
    Save your changes. Click OK. OK saves your changes and displays the previous page.

    To exit without saving, select another page or click Cancel to display the previous page.

    Managing Reports

    You use this page to report on conferences for a specific conference bridge.


    Steps Details
    1. Select a conference bridge. * Select a conference bridge from the Bridge Name drop-down list.
    2. Type the start date. * Specify the start date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the input box.
    3. Type the end date. * Specify the end date. Type the date in month/day/year format or click on the calendar icon to select the date from the pop-up calendar. To select a date, click the calendar icon to the right of the text box for a date. On the calendar box, to change the month click either of the inner circles with arrowheads. To change the year, click either of the outer circles with arrowheads. Then, click the day. The selected date displays in the input box.
    4. Type the project billing code (optional). Type the project billing code. This code can be up to 50 characters.
    5. Type an e-mail address to send a copy of the report to (optional). Type an e-mail address to send this report to an e-mail user.
    6. Generate the report. Click Generate. The report displays in a new window. The report displays information in the following columns:
    • Bridge: displays the name of the conference bridge.
    • Call Date: displays the date of the conference call.
    • Call Start Time: displays the start time of the conference call.
    • Time Zone: displays the time zone of the conference call.
    • Call Owner: displays the owner of the conference call.
    • Phone Number: displays the phone number of the conference call participant (or leader).
    • Direction: displays the direction of the call (outgoing or incoming).
    • Leg Start: displays the time the caller joined the conference call.
    • Duration: displays the length of time the caller was engaged in the conference call.
    • Leg Number: displays the number assigned by the system to the conference call participant (or leader).
    • Access Code: displays the access code for the conference call.
    • Project Billing Code: displays the project billing code attributed to the conference call.
    • Call ID: displays the caller ID associated with the call.

    Managing the Bridge During a Call



    Tasks Steps
    To modify existing conference information:
    1. Modify existing conference information as required. The Bridge Name, Owner, Type, Start Date, and Start Time can not be modified. To change any of these fields, you must delete the conference and add a new conference.

      To exit without saving, click Cancel or select another page.
    To control a conference: Click Call Control. The Conference Call Control page displays.
    To add participants to a conference: Click Call Control. The Conference Call Control page displays.

    Enter the phone number Click CALL
    To modify a recording of a conference: Click Recordings. The Conference Modify Recordings page displays.

    Click Start Recording.

    To end recording, Click Pause Recording or Stop Recording.

    Managing Recordings

    - Under Option, Click Conferencing.
    - Under Basic, Click Recordings.
    - View the list. Choose one.
    - Download or Listen or email the recordings.
